We manage (off-site) records for hospitals, financial institutions, etc. We do more than just store records; we become an extension of our client’s file cabinet. Our goal is to tailor a record management program designed for you company’s specific needs. Our software provides an interactive function for our client’s direct involvement. Our clients have the ability to request pick ups / delivery of records, view inventory, index files or boxes, generate reports for audit purposes, and view scanned documents for access. Our software is “HIPPA” compliant and documents cannot be manipulated via internet. You can view or print only.
We classify documents into two categories: Active & Non active.
Active files are accessed daily, weekly, or monthly.
Non active may be accessed once or twice a year, maybe less.
We can scan active files to website and store electronically or scan to CD, DVD or directly into your file storage software.
The Non active files can be stored within our facility and (Scan on Demand) scanned as you need them. The “Scan on Demand” function allows clients’ to access a document within minutes.
This process will save your company money because if you do not access documents on a regular bases, why scan all of them at one time? We advise to scan documents as you need them.
The only reason to scan all files is for disaster recovery and we can provide consultants to help your company make the best decision.
